Centre Secretaries and Treasurers.

As many of you are aware, there is an increasing tendency for grants which
are on offer from Government Departments (Federal, State and Local) to
require RDA (NSW) to be the "auspicing authority" for the grant.
Basically, this means that RDA (NSW) is the company that supports and
sponsors the grant application.

The Board would prefer for the grant funds to be deposited by the grant
authority directly to the Centre bank accounts. However, along with the
increase in the requirement to have an auspicing authority, there is the
increasing tendency for the funds to be deposited by the grant authority
into the bank account of RDA (NSW).

A problem that this raises is that, in many instances, the grant authority
generally only notifies the Centre, and not the Board, about the results of
the grant application.

As a result, the Board is not always able to track down the successful grant
applicant. Often, the only thing that RDA (NSW) has to go by when trying to
find the Centre that the funds need to be redirected to is the amount of the
grant.

The process sometimes does not take into account the possibility that:

*	there may be a number of Centres that have applied for a particular
grant or applied for a similar/same amount,
*	the details about the grant that RDA (NSW) holds is an "ex-GST"
amount but the funds which are deposited include GST, so the amount is not
obvious,
*	the amount applied for may not be the same as the amount granted as
a different amount may be allocated, and not the amount applied for.

This has happened a few times recently and the Board has had to try to
locate the applicant Centre so that the funds can be transferred. Some have
been difficult to trace.

To avoid this problem, could you please make sure that when your Centre
receives any notification from the grant authority about the status of your
Centre's grant application (even if unsuccessful) that you send a copy of
the letter to State Office as soon as possible. That will help ensure that
your Centre can receive the grant funds much sooner and helps the Board
"close the file" on that grant.

Also, even if your Centre applies for a grant that has not needed any
support from RDA (NSW), could you please notify State Office of the results
of your Centre's application.

Please don't hesitate to contact the Board if you have any questions, or if
you need any assistance, in relation to a grant application.

Thank you.
